Delivery Checklist
An organised receiving check creates a clear record of what arrived and helps the project team resolve discrepancies before installation. Prepare the purchase order, packing list and agreed equipment schedule before the delivery reaches site.
Record the condition on arrival
Inspect the external packaging for visible damage and signs of rough handling. Record package identifiers and take clear photographs of any concern. Follow the agreed delivery and reporting procedure, and retain relevant packaging while a discrepancy is being reviewed.

Match the delivered items
Compare the unpacked items with the packing list and order. Record the model and serial number where provided, and check separately packed controllers, mechanisms, mounting parts, cables and accessories against the agreed scope. Make a list of shortages or unexpected items rather than assuming they belong to another package.
Keep the documents with the equipment
Collect the supplied installation and operating instructions, applicable drawings and any agreed test or inspection documents. Check that model references and document revisions are consistent with the delivered items. Keep these records accessible to the team responsible for installation and commissioning.

Use a concise discrepancy record
For each issue, record the order reference, affected item, package or serial identifier, description and photographs. Note the date and the clarification requested. Send the same record to the responsible project contacts so procurement and engineering work from a consistent set of facts.
Plan the next stage
Follow the equipment-specific handling and storage instructions until installation. Receiving checks are a record of delivery condition and completeness; they do not establish readiness for energisation. Installation, electrical checks and commissioning should be performed by qualified personnel using the applicable instructions and agreed project requirements.
Define the required delivery documents and accessory list during the enquiry stage, then use that agreed list again at receipt.
