Procurement Guide

Start with the supply scope

A useful request for quotation tells the supplier what is needed and gives the buyer a consistent basis for comparing offers. State whether the requirement is for a complete assembly, a three-phase set, individual poles, an operating mechanism or accessories. List quantities and quotation units separately. Where housings, controllers or mounting parts are required, identify them explicitly.

Define the project requirements

  • Identify the equipment function and the intended indoor or outdoor application.
  • Provide the project voltage, frequency and current requirements using full parameter names and units. Include the duration for any time-dependent rating.
  • Describe the installation environment, including altitude, temperature and any unusual exposure conditions.
  • Attach the applicable technical specification and identify its revision. Mark requirements that are mandatory and those that remain open for discussion.

Make the interfaces visible

Provide the available layout, mounting dimensions and connection requirements. For equipment with control functions, list the required auxiliary supply, sensors, controller and communication interfaces. A photograph can help identify an existing arrangement, but it should be accompanied by dimensioned information when interchangeability matters.

Ask for a comparable offer

Request a line-by-line scope showing the base equipment, included accessories and separately priced options. State the destination, requested delivery basis and required documents. Ask the supplier to identify deviations and open technical points rather than leaving them implicit.

Keep one current enquiry package

Give the RFQ a reference and revision date. When a requirement changes, issue the updated version and ask suppliers to confirm which revision their offers address. This makes later technical and commercial comparisons easier to follow.

For a Reach Tech enquiry, share the equipment type, quantities, application and available specification so the required configuration can be reviewed.
